Digital event registration management for more than 10.000 participants for RUN - Thüringer Unternehmenslauf



The 'Thüringer Unternehmenslauf RUN' is a team-building sports event for companies and their employees from all over Thuringia. Following the motto "We are family!", the event is about running, walking or simply having a stroll together for around 5 km through the beautiful, historic old town of Erfurt. It not only supports the team spirit and motivation among employees, it is also a great way to represent Thuringian companies.

It not only supports the team spirit and motivation among employees, it is also a great way to represent Thuringian companies.

Initial situation

Every year, the RUN brings together over 500 participating companies, which have to register themselves and their employees to take part at the event. Additional services such as presentation stands or food coupons can also be ordered to complete the event for the particular company. 

All incoming registrations and orders for additional services need to be continuously recorded and organized by the RUN team from the moment they are submitted in order to ensure that the major event runs smoothly. In addition, the companies also have to be invoiced finally. 

To solve these tasks, RUN previously made use of two separate elements: 

On the one hand, a purely informative website that could only be maintained by the previous service provider. And on the other hand, a simple participant platform for companies to register their employees and runners. Additional services relating to the RUN were requested by e-mail or telephone and caused a significant amount of additional administrative work.

Our task

SITEFORUM was hired by RUN to modernize the website, make it more user-friendly and implement digital participant management. 

It was important to remove the media gap between the website and the protected participant area, so that the companies only have to access one "homogenous environment". 

In addition to that, it should be possible to book, manage and invoice additional services within the new platform in order to reduce the overall organizational workload.

Solution

Based on the SITEFORUM digitization platform, the concept for redesigning the website was realized by using the CMS application. Since then, the website has been shining in fresh new brilliance and the RUN team is able to add and edit content themselves. 

With the help of various applications included in the digitalization platform, the digital participant management could be implemented as an all-in-one solution. This allows the team captains of the companies to register and manage their companies and the runners in self-service. Additional services such as presentation stands and food coupons can also be booked directly. 

As the icing on the cake, every participant can also download their personal certificate from the website after the event.

Results

The new website www.thueringer-unternehmenslauf.de including self-service participant management was launched right on time for the kick-off event and has been very popular ever since. 

We are happy to report that for the first time in the history of the RUN, the magical milestone of 10,000 runners was "cracked" and a new record number of participants was set: 11,000.

Thanks to new reporting options and the simple management of companies, participants and bookings of additional services, the management of this large-scale event was made easier for the RUN team.

Even the booking of additional services was more popular than in previous years, making the project a complete success.

Side note: Like in previous years, the SITEFORUM team also took part in the event and sent a small part of the team into the race with the message "We run the RUN!".
